CLERICAL ASSISTANT
RESPONSIBLE TO: Fleet Manager
FUNCTION: To assist with the coordination of drivers and vehicles to ensure timely and efficient transport of TEAM Services passengers. Assist in the office clerical duties.
SPECIFIC DUTIES:
1. Receives telephone requests for transportation and ensures timely response.
2. Ensures daily Medicaid MAS roster has been reviewed each day and compares to the last roster to see if any new trips have been added. Assigns a driver and vehicle in Routing Box.
3. Before leaving for the day, checks the MAS roster again to see if any new trips have been added.
4. Checks all MAS emails for changes or cancellation of trips.
5. All transportation trips are placed on the Excel calendar and in Routing Box.
6. When trips have early morning departure, ensures that the information and keys are available.
7. Assist the Manager with weekly attestation of MAS trips.
8. Maintains monthly vehicle mileage logs.
9. Assist with maintaining all transportation files as directed and required by regulation and /or company policy to ensure internal and external audit compliance.
10. Helps to ensures drivers are keeping vehicles clean inside and outside. Informs Manager when cleaning supplies are low.
11. May assist transporting vans from the Felice Corporate Center to Jackson Avenue for DOT inspections when needed.
12. Obtains new registrations from DMV.
13. Assist the Manager with efficient deployment of drivers and vehicles to minimize expenses and maximize revenues.
14. Assist the Manager with ensuring accurate billings are generated and prior authorizations are secured.
15. Assists with answering phone and door from front desk.
16. Performs all other related duties as needed or assigned by supervisory personnel.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Good knowledge of transportation processes and protocols; knowledge of, or ability to learn, New York State Department of Motor Vehicle Traffic Laws and Regulations, as well as other state and federal regulations for drivers and vehicles; reliability and flexibility; excellent organizational skills, including the ability to schedule multiple transportation routes in an efficient and fiscally responsible manner; physical condition commensurate with the demands of the job.
MINIMUM QUALIFICATIONS:
High School or GED diploma plus 3 years of office work; OR Associate’s Degree in Business Administration or related field and 1 year experience. Possession of a valid NYS driver’s license.
Job Type: Part-time - 20-25 hours per week
Pay: $17.50 per hour
