About the opportunity:
315 Logistics is a growing Amazon Delivery Service Partner supporting operations in Virginia Beach, Hampton, and the Outer Banks. We are seeking an experienced, organized, and tech-savvy Executive Assistant & Operations Coordinator to work directly with our CEO and CAO.
This position combines executive administrative support with hands-on coordination of compliance reporting, insurance claims, operational equipment, and special projects across three stations.

What you will do:
-Support executive leadership: Coordinate schedules, meetings, correspondence, administrative requests, and special projects for the CEO and CAO.
-Keep projects moving: Track priorities, deadlines, and follow-up items; provide regular updates; and identify issues that need leadership’s attention.
-Maintain compliance records: Gather information, prepare recurring and ad hoc reports, monitor due dates, and keep documentation accurate and organized.
-Coordinate insurance and incident claims: Open and track claims, collect statements and supporting documentation, communicate with insurers and vendors, and follow each claim through resolution.
-Connect our stations: Maintain regular communication with station leaders in Virginia Beach, Hampton, and the Outer Banks to coordinate requests and share timely information.
-Coordinate operational tools: Support the ordering, assignment, tracking, replacement, and troubleshooting of fuel cards, phones, and other operational equipment.
-Manage calls and follow-ups: Contact vendors, insurers, station teams, and other business partners to obtain information and resolve outstanding matters.
-Maintain confidential records: Handle company, employee, and business information with professionalism and discretion.
-Improve processes: Use Google Workspace, Microsoft Office, Amazon DSP portals, and company-approved AI tools to organize work and improve efficiency.
What we are looking for:
Required qualifications:
-At least 5 years of administrative, executive support, operations coordination, or related experience.
-Strong written and verbal communication skills.
Excellent organization, attention to detail, and follow-through.
-Proficiency with Google Workspace and Microsoft Office.
-Ability to learn new software, portals, and communication tools quickly.
-Sound judgment when handling sensitive and confidential information.
-Ability to prioritize requests from multiple leaders and adapt as business needs change.
-A proactive approach to problem-solving and the ability to work independently.
-A driving record that meets company requirements and satisfactory completion of a background check.
-Availability for occasional early mornings, late evenings, and weekends.
Preferred qualifications:
-Experience with insurance claims or incident documentation.
-Experience in logistics, transportation, or Amazon DSP operations.
-Experience preparing compliance reports and tracking operational equipment.
-Familiarity with AI tools for drafting, summarizing, and organizing information.
Schedule and compensation:
-This is a full-time, salaried position paying $45,000–$50,000 annually, based on experience and qualifications.
-The regular schedule is Monday through Friday, with occasional weekend work as business needs require. -Start and end times may vary depending on active projects and operational priorities, including occasional starts as early as 7:00 AM.
